    We are seeking a Senior Document Controller to work within Gleeds Information Management business unit, working across a diverse portfolio of clients and sectors. The successful candidate will bring established document control expertise into a team that operates at the intersection of document management and ISO 19650 information management — giving this role a broader scope and greater influence than a conventional DC position.

    This is a role suited to an individual who takes pride in rigour and consistency, but who also wants to shape how document control is delivered — contributing to the development of standards, processes, and client offerings as the service grows within the BU.

    This individual can be based from our central Birmingham or central Nottingham office.
     
    What Set's This Role Apart 

    Document control at Gleeds sits within an Information Management team that is fluent in ISO 19650, BIM delivery, and digital information strategy. This means the successful candidate will work on commissions where document control and information management are genuinely integrated — not siloed — and where their expertise directly informs how projects manage and exchange information.

    The variety is real: the BU works across sectors including education, government, defence, and commercial development, with clients ranging from public sector frameworks to major private programmes. No two commissions are the same, and the expectation is that the Senior Document Controller will bring consistency of approach while adapting to the specific needs of each client and programme.

    For the right person, this is also an opportunity to shape something — to help define what a Gleeds document control service looks like, and to build a reputation in a field where strong, senior DC professionals are genuinely scarce.

    Responsibilities include but are not limited to:

    Document Control — Core Delivery

    • Establish and manage document control systems, registers, and workflows across multiple concurrent commissions
    • Configure and administer Common Data Environments (CDEs) including SharePoint, Aconex, Asite, ACC, Dalux, and 4Projects, ensuring consistent naming conventions, folder structures, and access controls
    • Receive, register, distribute, and track all project documentation — drawings, specifications, correspondence, RFIs, submittals, and technical data
    • Maintain document status registers, revision histories, and transmittal records in line with project information standards
    • Ensure documents are issued and superseded in accordance with agreed workflows, approval sequences, and contractual requirements
    • Liaise with client teams, contractors, and consultants to ensure timely submission and receipt of information
    • Manage document close-out at project completion, supporting handover of the project information model and record documentation

      BIM & Information Management Integration

    • Work alongside Gleeds Information Managers to align document control processes with ISO 19650 information delivery requirements
    • Support the development and implementation of project information standards, production methods, and CDE workflows
    • Assist with the preparation and review of BIM Execution Plans (BEPs), ensuring document control responsibilities are clearly captured
    • Contribute to compliance audits and quality assurance checks, verifying that documentation meets the project's Exchange Information Requirements
    • Support the transition of project documentation into Asset Information Models (AIM) at handover

      Service Development

    • Contribute to the development of Gleeds' document control service offering — helping to define standards, toolkits, and repeatable processes that can be deployed across the client portfolio
    • Identify opportunities to introduce or improve document control services on existing Gleeds accounts
    • Maintain and develop bid content, CVs, and case studies relevant to document control services
    • Provide guidance and quality assurance to junior team members and client-side document controllers where relevant
    • Represent Gleeds' document control capability in client meetings, workshops, and industry forums

      Managing for Performance

    • Provide line management support to junior document controllers as the team grows, supporting their development and performance
    • Plan and manage workload across concurrent projects, escalating capacity or programme risks to the BU Lead
    • Participate in internal quality audits and implement corrective actions
    • Contribute to team meetings, CPD sessions, and BU ways of working development

  • Who we’re looking for:

    Experience, Knowledge and Key Skills

    Experience
    • Experience managing CDE platforms and configuring workflows for multi-party project teams.
    • Significant experience in a senior or lead document control role on complex construction, infrastructure, or capital programmes.
    •  Proven track record of establishing and managing document control systems from the ground up on major projects.
    • Experience working within or alongside BIM / ISO 19650 delivery environments.
    Technical Skills 
    • Advanced proficiency in one or more CDE platforms (SharePoint, Aconex, Asite, ACC, Dalux, or similar).
    • Strong working knowledge of document control principles — naming conventions, revision control, transmittal management, and close-out.
    • Familiarity with ISO 19650 information management principles and how they relate to document control.
    •  Proficiency in Microsoft Office suite; familiarity with Power BI or similar reporting tools is advantageous.
    Commercial Awareness
    • Understanding of how document control contributes to contractual compliance and risk management.
    •  Ability to scope and articulate document control services as part of client proposals and bids.

  • Able to translate document control requirements into practical guidance for project teams unfamiliar with formal DC processes.
  • Clear, confident communicator with the ability to engage clients, contractors, and multi-disciplinary project teams.

Qualifications

  •  A qualification in information management, construction, or a related field is desirable but not essential.
