  • About this opportunity

    The Site Administrator will provide essential support to the Project Management team throughout the construction, installation and commissioning phases. The role combines site-based administrative support with document management responsibilities, ensuring the smooth day-to-day running of the project and maintaining high standards of record-keeping and communication. 
     
    Location: Sines, Portugal. This role requires being on-site during the work week. No rotation or fly-in/fly-out arrangement applies.

    Responsibilities include but are not limited to:
    • Delivering high-quality services and ensuring that cost management deliverables meet Customers’ requirements.
    • Assisting the Project team with the coordination and delivery.
    • Supporting site activities, including progress monitoring, coordination of works and liaison between the client, contractors and the Gleeds team.
    • Maintaining accurate and up-to-date project documentation, including drawings, method statements, technical submissions and site records.
    • Managing the project document control system, ensuring all records are properly filed, version-controlled and easily accessible.
    • Preparing and distributing meeting minutes, action logs and progress reports.
    • Tracking and chasing outstanding information, approvals and responses from contractors and suppliers.
    • Assisting with the administration of site safety records, permits and inspection reports.
    • Supporting the change management process by logging and filing variation requests and related correspondence.
    • Ensuring all project documentation is complete and well organised ahead of handover and commissioning stages.
    • Advising Directors promptly of any issues that have arisen, or that might arise, on projects; in particular those that might impact on Gleeds professional indemnity (PI) insurance.

  • Who we’re looking for:

    Experience, Knowledge and Key Skills

    • Previous experience as a site administrator, project assistant or document controller within the construction industry (large-scale projects preferred).
    • Strong organisational skills with excellent attention to detail.
    • Good working knowledge of document management systems and Microsoft Office tools.
    • Ability to communicate effectively with clients, contractors and internal teams.
    • Proactive and reliable, with the ability to work independently on site.
    • Ability to work as part of a team
    • Proficiency in English and Portuguese. 
    • Right to work in Portugal and availability to work in Sines 5 days per week (no rotation applies).
