About the Role
We are seeking a highly capable, proactive, and technology-oriented Personal Assistant to provide comprehensive administrative and operational support to our AI and Digital team. This is more than a traditional administrative role — you will be part of a forward-thinking team working at the forefront of artificial intelligence and digital transformation.
Reporting directly to the Head of AI and the ideal candidate will possess a strong interest in emerging technologies, and the ability to work independently while maintaining a collaborative and professional approach.
Key Responsibilities
- Manage email inboxes and respond to correspondence on behalf of the team, ensuring timely and professional communication.
- Coordinate and manage calendars, scheduling meetings, calls, and appointments across multiple time zones.
- Organize meetings, workshops, and webinars, including agenda preparation, resource booking, material circulation, and action tracking.
- Perform accurate and timely data entry, maintaining databases, spreadsheets, and internal systems.
- Provide clients, partners, and stakeholders with clear and accurate information regarding products and services.
- Support bid and proposal processes by assisting with document preparation, formatting, and collation of supporting materials.
- Handle general administrative responsibilities including document management, filing, and record keeping.
- Take direction from the Head of AI while proactively anticipating and addressing the needs of the wider team.
